1 INTRODUCTION
The Society for Advanced Research in Plant Science (SARPS) is a professional & scientific organization dedicated to promoting advance plant science research, sustainable agriculture, and biodiversity, conservation. This document outlines the policies governing the society’s operations, membership, ethical guidelines, and governance structure,etc

2 ORGANIZATIONAL STRUCTURE & GOVERNANCE

2.1 Objectives & Mission –
The primary objectives of the SARPS include:
1 Advancement of research and education in plant sciences.
2 Promotion of sustainable agricultural practices.
3 Conservation of biodiversity and ecosystem balance.
4 Knowledge dissemination through conferences, workshops, and publications & vice - versa.

2.2 Membership Categories –
Membership is categorized as follows:
1 Student Membership – For undergraduate and postgraduate students in plant sciences.
2 Professional Membership – For researchers, academicians, and industry professionals.
3 Corporate Membership – For organizations and industries contributing to plant sciences.
4 Lifetime Membership – A one-time membership for long-term association.

2.3 Governing Body -
The society is administered by the following elected officials:
1 President – Chief executive, responsible for overall management.
2 Vice President – Assists the President and oversees strategic initiatives.
3 Secretary – Manages documentation, records, and communications.
4 Deputy Secretary – Assist the President & Secretary in all strategic initiatives.
5 Treasurer – Handles financial matters and maintains financial transparency.
6 Advisory Board – Composed of senior experts providing strategic direction.

3 MEMBERSHIP GUIDELINE –

3.1 Eligibility & Application -
Membership is open to individuals and institutions engaged in plant sciences.
# Applicants must submit a formal application along with required documentation.
# Membership fees must be paid as per the society’s fee structure.

3.2 Code of Conduct –

Members are expected to:
# Uphold ethical research and professional conduct.
# Maintain respect and inclusivity in all society-related activities.
# Avoid conflicts of interest, misrepresentation, or unethical behavior.

3.3 Termination of Membership

Membership may be revoked due to:-
# Violation of society policies.
# Non-payment of dues for 06 consecutive months.
# Engagement in research misconduct or fraudulent activities.

4 RESEARCH & ETHICAL GUIDELINES :-

4.1 Ethical Research Practices
# All research must comply with international and national ethical standards.
# Researchers must ensure transparency, reproducibility, and responsible use of resources.

4.2 Intellectual Property Rights (IPR)
# Members retain intellectual property rights but must acknowledge SARPS support in publications.
# Any research funded by SARPS must credit the organization appropriately.

4.3 Plagiarism & Scientific Misconduct
Any act of plagiarism, falsification of data, or misrepresentation will lead to immediate disciplinary action.

5 AWARDS, GRANTS & SCHOLARSHIPS
5.1 Eligibility & Selection - Awards and grants shall be based on merit and impact in the field of plant sciences.
5.2 Cancellation & Refund Policies - If an awardee is found to have misrepresented information, the award shall be revoked, and any financial benefits refunded within 01 year.

6 CONFERENCES, WORKSHOPS & PUBLICATIONS
6.1 Event Organization – SARPS shall conduct annual or multiple scientific events to promote knowledge exchange.
6.2 Paper Submission & Peer Review - All submissions shall undergo a strict double blind peer-review process to ensure scientific integrity.

7 FINANCIAL & FUNDING POLICIES –
7.1 Sources of Funding - The society generates revenue through membership fees, sponsorships, and research grants & scientific events from time to time.
7.2 Financial Transparency - An annual financial report shall be made publicly available.

8 COLLABORATION & PARTNERSHIPS
8.1 Guidelines for Collaboration – SARPS encourages partnerships with academic and research institutions for joint projects.
9 ENVIRONMENTAL & SOCIAL RESPONSIBILITY

9.1 Commitment to Sustainability - The society shall actively promote eco-friendly research and conservation efforts.
9.2 Community Engagement - Awareness programs on plant sciences shall be conducted regularly.

10 COMPLAINT & DISPUTE RESOLUTION
10.1 Reporting Misconduct - Ethical violations and conflicts must be reported to the Ethics Committee for review.
10.2 Disciplinary Actions - Actions shall range from warnings to permanent membership termination, depending on the severity of the violation.

11 AMENDMENT & POLICY REVIEW
# Modifications to Policies - The policy document shall be reviewed every 15 years.
# Any amendments require Presidents & Advisory Board approval.
OFFICIAL ENDORSEMENT - This policy document has been reviewed and approved by the governing body of the Society for Advanced Research in Plant Science (SARPS).
